Tax Form Storage and Retrieval Tips
Last issue we showed how you can leverage your ACOM EZeDocs/400 forms solution to manage the production of your organization's tax forms (W2, 1099). This time we’ll take a look at what you can do with all those forms once you’ve finished printing them.
How can you easily store your finished forms in a way that allows for fast retrieval and reproduction?
Maybe you have simply been saving tax form spool files from past years. It’s an easy approach, but you end up stuck with old spool files you can’t purge from your system. This approach also requires you to refer back to the original spool file and merge the necessary pages every time a request is made for copies of tax forms.
Another approach is to let ACOM’s PDF Module do the heavy lifting. This module works in conjunction with your existing Forms Module or Checks Module. The PDF Module allows you to print your documents (forms, checks), and at the same time create an electronic copy in a PDF format. The PDF file created is stored on the IFS where you can access it very easily through a Windows browser.
Now if you receive requests for copies of tax forms, you simply open the PDF file and print the or email the requested forms.
